Administrative Assistant

 

Impact Church is currently seeking an experienced individual to be our next Administrative Assistant and join our team in our Atlanta, GA 30344 location. 

 

About the Role:

The Administrative Assistant will be working in a fast-paced setting with the ability to be flexible in an evolving daily environment. Reporting to Impact’s Senior Executive Assistant (to the Lead Pastor), this position is the point of contact and liaison for Impact’s staff and external touch points. As such, this position is crucial to the support of the Leadership Team. The Administrative Assistant must be punctual, maintain global confidentiality, exhibit a high level of hospitality, exude executive presence, maintain high standards of professionalism and possess exceptional communication skills.

 

What you’ll do:

Core duties and responsibilities include the following.  Other duties may be assigned by management.

Front Office:

  • Show radical hospitality to all who set foot on the campus. Including, but not limited to staff,
  • volunteers, attendees, vendors, visitors, etc.
  • Answer and monitor main office phone lines, general email box and social media inboxes. Triage
  • these messages within 24-48 hours to the responsible staff member. Follow-up within 24 hours
  • with staff to ensure matters are closed.
  • Answer deliveries and inquiries that arrive at the main gate.
  • Order food for Sunday volunteer meals based on requests received by the MVolve Coordinator or
  • Connections Pastor in collaboration with the Creative Worship Director to create a cohesive Worship Experience.
  • Give tours as needed.
  • Serve as an ambassador as needed for on-campus events.

Support Experience:

  • Exercise discretion, confidentiality, generosity of spirit, and professionalism in all dealings.
  • Responsible for typing, proofreading, and editing materials and data for completeness, comprehension, and accuracy.
  • Ability to prioritize projects/tasks.
  • Lead with innovation including reviewing and recommending changes to processes, programs, and operations.
  • Responsible for a wide variety of time-sensitive information and material.
  • Manage routine mailings such as new visitors’ and viewers’ letters and donor newsletter.
  • Handle incoming and outgoing communication (calls, mail, bulk mail, and email).
  • Serve as key liaison with vendors such as Eclipse, Atlanta Office Technology, Staples and Pitney Bowes, etc.
  • Participate in Strategic Management Team, Imprint small group, and other meetings as applicable.
  • Assist clergy with preparation for special events: Advent, Baptisms, All Saints Day, Communion.
  • Assist Staff Teams with meeting preparation: presentations; meeting material handouts.
  • Assist Staff Teams with ad hoc research tasks, including digital and phone outreach.
  • Assist Staff Teams with team meeting coordination and team meeting preparation.
  • Prepare guest’s portfolios/welcome bags and ensure delivery in a timely fashion.
  • Some Saturdays and evening meetings will be required.
  • Coordinate travel arrangements as needed.
  • Other duties as assigned.

Our Perfect Candidate

Education, and Experience:

  • High school diploma or equivalent.
  • Office hours are Monday to Thursday from 9 am to 5 pm; Fridays from 9 am to 3 pm.
  • Knowledge of Apple products (Mac computers/iPhone), GSuite (Gmail, etc.), and Zoom required.
  • Proficient in Microsoft Applications i.e., Excel, PowerPoint, and Word.
  • Working experience on Adobe Products i.e., Photoshop, Illustrator, PDF Pro 10 big plus.
  • Ability to utilize Microsoft Office for Mac computers and display proficiency with technology.
