Electronic Fluorocarbons LLC is currently seeking an Administrative Assistant to join our team in Hatfield, PA 19440.

About the Role:

  • The primary function of the Administrative Assistant is to Perform administrative tasks and supports the Executive VP of Operations, Director of Operations and Sales team at our Hatfield, PA plant.

What You’ll Do:

  • Coordinates travel arrangements, completes expense reports using Concur
  • Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving, and preparing facilities, planning catering needs and recording and transcribing meeting minutes
  • Orders and maintains supplies
  • Performs general clerical duties including but not limited to filing, photocopying, scanning, faxing, and mailing
  • Coordinates calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedule changes, aware of competing priorities
  • Meets and greets visitors
  • Answers and screens telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy; arranges conference calls using TEAMS
  • Manages and distributes daily internal/external mail and overnight packages
  • Composes, types, and distributes professional correspondence and memoranda
  • Proactively establishes, and maintains highly organized filing system, files correspondence and other records, both paper and electronic
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
  • Performs other related duties and projects as assigned by management


Our Ideal Candidate:

Education and Experience

  • Minimum of 6 months to 1-year Administrative Support experience
  • Must be able to use Microsoft Office Suite of tools, especially Microsoft Outlook and PowerPoint
  • Experience using Concur for expense reports strongly preferred

Required Skills and Abilities

  • Strong organizational skills with constant attention to detail
  • Requires professionalism in phone calls and able to field callers, understanding which calls and visitors to screen and divert away from staff
  • Requires proactive, can-do attitude, learning new things quickly
  • Problem solving mindset combined with ability to manage both independent and teamwork
