About the role:

The candidate will be part of the back-office team and will respond to the Office Manager and the Director of Design and Operations. The candidate will work off our Sarasota, FL office location. The candidate will receive training in Sarasota and occasionally will have to travel to Europe, Italy for global corporate updates.

Essential Duties and Responsibilities:

  • Understanding of logistics and accounting management in the construction industry, problem solving capacity and troubleshooting skills are important requirements for the role
  • Provide support and assistance to all company directors, reports to office manager and director of design and operations.
  • Prepare Sales/Marketing packages, brochures, coordinate shipping samples
  • Manage inventory, use and bi-annual order of brochures and samples from Italy
  • Assist in organizing Trips and Events (trade shows, conventions)
  • Manage and coordinate arrangements for Lunch & Learn presentations
  • Generate L&L certificates for AIA attendees
  • Assist Office Manager organizing temporary pool builds (logistics, housing, hotels, marketing)
  • Assist in expense admin processing through QuickBooks
  • Prepare project submittal packages and marketing presentations
  • General office duties (front desk, mail)
  • Assist resolving issues with customs at port of entry re shipping docs/contents/packing list
  • Assist installation team with shipment arrangement and tracking of domestic orders
  • Provide back up for our installation team by procuring materials locally whenever needed
  • Update company CRM/tracking systems as needed

Our Ideal Candidate:

Education and Experience

  • 2-3 years of professional working experience in administration/logistics.
  • Studies/background: marketing, accounting, logistics, preferably with swimming background or experience in swimming pools, plumbing, drywall or construction in general
  • Languages: fluent in English, preferred second language Spanish
  • Available to travel for short periods of time in the USA and Caribbean. Occasional travels overseas (Italy).
  • Office 365 suite and apps, Adobe, QuickBooks. SAP understanding preferred.
