Gift Entry & Stewardship Specialist

We are currently seeking a Gift Entry & Stewardship Specialist to join the team remotely in Washington.

About the Role:
As a key member of the Fundraising team, the Gift Entry & Stewardship Specialist’s primary focus is the support of the advancement outreach of Special Olympics Washington.  Duties include entering gift and constituent data into donor and event databases, preparing targeted letters, creating and sending acknowledgements, managing constituent records, and providing general office administration assistance including telephone communication with donors. The Specialist will support donor stewardship and moves management. The Specialist will report directly to the Director of Development, Operations and work closely with the Finance Department.  

What you’ll do:
• Wholeheartedly embrace the mission of Special Olympics Washington and Team Agreements for how we work together. 
• Assures that all internal office deadlines are met.
• Maintains a high degree of knowledge of donors and is an active part in donor outreach.
• Accurate, timely and confidential recording of all gifts, sponsorships, and registrations including pledge, in-kind, stock/property, matching gifts, recurring, and ACH.
• Maintain data quality by adding records when required during gift processing and make updates to existing records on a regular, defined basis.
• Make any necessary gift code changes in CRM and coordinate the change with the Finance Department.
• Create acknowledgement letters and make edits as needed, collaborating with fundraising colleagues.
• Mail gift acknowledgment letters with attention to detail and in a timely manner.
• Manage donor stewardship track with task assignment and moves management.
• Receive donations via telephone and enter credit card donations directly into donor system.
• Process refunds and maintain files/records for these systems.
• Preserve donation information and record retention by filing and scanning necessary files.
• Develop and maintain process documents for best practices within this role.
• Maintain compliance with defined procedures to ensure security of checks, cash, and credit card information.
• Maintain compliance with all Special Olympics Washington’s policies and procedures, as well as local, state, and federal laws and regulatory requirements.
• Manage bulk uploads/export of data from data systems.
• Other duties as assigned

Our Perfect Candidate
Education and Experience:
• Associate’s or Bachelor’s degree from an accredited college or university preferred; or a combination of training and experience that includes some college coursework with 3+ years of administrative, general business, non-profit fundraising or development experience. 
• 1 to 3+ years of non-profit gift processing experience preferred.
• Salesforce database experience a plus.
• Ability to set priorities and work independently as well as on a team.
• Solid interpersonal, organizational and communication skills – both oral and written.
• Good customer service skills;
• High level of accuracy, attention to detail and professionalism. 
• Exceptional ethics and appreciation for strict confidentiality required.
• Competency in Microsoft office software, with emphasis on Excel and mail merges within.
• Understanding of nonprofit revenue processing and fundraising.
