Receptionist

Medical Imaging of North Stafford is currently seeking a Receptionist to join their team in Stafford, Virginia 22556.

Medical Imaging of North Stafford is a medical imaging facility in Stafford, Virginia providing diagnostic imaging services that include x-ray, ultrasound, CT, and MRI. We have a long history of providing the highest quality services to the patients we serve, our referring clinicians, and the Health Care systems with which we partner.

About the role: 

This position is accountable to perform a variety of clerical, reception, coding, and support functions that will ensure timely and effective day-to-day operations and communications. 

Work Timings: 10:30 AM to 7 PM - Monday to Friday 
2 mandate working Saturdays a month – with one day off during the week to compensate for the working Saturday. 
5 day working week. 

What you'll do:

Greet all patients, visitors, family members, physicians, and Associates in a courteous and professional manner. Address customers' needs efficiently, effectively, and confidentially. Provide physical assistance if necessary and assists patient in completing required paperwork.
Answer telephones courteously and professionally by the third ring. Screen and transfer telephone calls or take messages as appropriate to facilitate effective Radiology communications. Deliver messages in a timely manner.
Respond to all requests for CD’s, thumb drives, Nucelous, reports, patient files, assistance, or information efficiently, effectively, and confidentially.  Handle additional patient record requests for CIOX.
Maintain an organized and efficient outpatient radiology reception area. Monitor patient schedules, workflow, and activities of all outpatient radiology sub-sections to assure a smooth and coordinated traffic flow. Assure that patients, family members, and associates are kept informed of activities and delays. Provide ongoing follow-up regarding patient delays for patients who have waited more than twenty (20) minutes past their scheduled exam times.
Create an atmosphere that promotes customer service excellence. Resolve or escalate customer complaints in a timely manner. Employ radiology's customer service recovery program when customer service failures occur.
Perform routine but essential clerical and support functions to ensure smooth and effective day-to-day operations of the facility. Copy correct and current insurance cards and valid ID cards. Confirm correct CPT and ICD-10 coding on the patient requisition forms. Support the Insurance Verification and Pre-Authorization Coordinator to ensure proper exam pre-authorizations and provides needed support in a back-up role for this process.  Assist with addressing billing error reports in a timely fashion. **Majority of patient scheduling is performed by Centralized Scheduling Team. Refer callers to the Centralized Scheduling line if front office is assisting other patients or short-staffed.
Assist patients with electronic check in system.
Guarantee that all files are maintained in a secure setting.
Perform Front Desk/Scheduler duties on all patients and maintains competency as evidenced by an initial and annual performance appraisal. Adhere to departmental policies, procedures, standards, and protocols to ensure effective departmental operations and quality patient care. Demonstrate a high degree of knowledge and understanding of Support Services/activities.
Maintain a safe environment for patients, personnel, and visitors by requiring and supporting the establishment, maintenance, and education of an effective safety management program.
Monitor and maintain an adequate inventory of office supplies and materials, as well as patient preparations, to ensure smooth operations in the reception work area and non-interruption of patient services.
Participate in performance improvement activities that are prescribed for the receptionist position.
Remain proficient in the use of Information Management systems as needed.
Assure the adequate supply of all documents for the facility, to include those utilized by the staff. Maintain an adequate inventory of clerical operational supplies.
Utilize information and communication technologies effectively and in accordance with HIPAA standards. Maintain and ensure patient confidentiality.
Effectively communicate operational activities and issues with co-workers, Supervisors, and Manager.
Assist in the handling of patient financial matters to include:
Informing self-pay patients of the up-front payment requirements.
Informing patients of MIF, LLC's policy on Advanced Beneficiary Forms
Providing directions to the various facilities
Informing the patients on the policies for co-pay and deductible collections at the time of visit as identified by the Insurance Verification Coordinator.
Other duties as assigned.

Our ideal candidate:
Education and experience

High school diploma or equivalent.
Requires a minimum of 2 years prior administrative/customer service experience preferably in a medical environment
Ability to work with physicians, staff, and patients in a confidential and efficient manner.
Strong working knowledge of MS Office to include Word, Excel, and Outlook
Proven track record of excellent customer service and attention to detail
Basic office skills such as faxing, copying, filing
Experience answering a multi-line phone system is preferred.
Ability to prioritize and perform work in an organized, efficient and effective manner without constant supervision and direction.
