Administrative Assistant
An ADP client is currently seeking an Administrative Assistant to join our team in Tampa, FL (33634).

About the role:
Performs a wide range of accounting and administrative duties to support the accounting department.
What you'll do:
• Verifies information and maintains accounts receivable reports including but not
• limited to monthly sales, open invoices, and aging reports.
• Issues all invoice credit memos
• Manage online usernames, passwords & payment information for several vendor accounts
• Manages the Yearly collection of Resale Tax Certificates
• Collection and distribution of mail, including applying check payments that come through USPS
• Scan and organize admin paperwork onto the public drive
• Manage postal machine
• Keep track of all amazon purchase orders
• Run EOD reports and log numbers on CEOs Calendar
• Keep records of the PTO requests and hand them in w/ appropriate timesheets
• Receives checks and prepares deposit slips; verifies remittances against business
accounts: deposits check daily
• Ensures the timely and accurate processing of accounts payable; receives verifies,
and posts account payable invoices into the accounting system
• Assists with month-end close and run monthly reports as required
• Answers, screens, and directs incoming telephone calls
• Sorts and distributes internal and external mail
• Assists with special accounting projects as needed
• Performs other related duties as assigned by management
Our ideal candidate:
Education and experience
• One-year certificate from college or technical school, six months to one-year or related experience, or equivalent combination of education and experience
• Accurately keystroke a minimum of 50 wpm
• 10-key by touch.
• Demonstrated ability to calculate figures and amounts
• Experience with QuickBooks or similar software, MS office applications, Outlook, Publisher, and UPS Worldship Domestic and International shipments
• Acute attention to detail
• Strong organizational skills
• Excellent written and verbal communication skills
• Ability to understand and follow written and verbal instructions
Skills and abilities:
• Must have strong verbal, written, and interpersonal skills.
• Multi-tasking, organizational, and time management skills must be strong due to the variety of tasks to be accomplished.
